MAP Accounting Services ("MAP Accounting", "we", "us") respects your privacy. This policy explains how we collect, use, share and protect your personal information in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

1. Who we are

2. What information we collect

  • Through our website: your name, email address, phone number and any details you include when you contact us or request a consultation.
  • As a client: identity and contact details, company registration details, tax reference numbers, financial records, banking details, payroll and employee information, and other information needed to deliver our services.
  • Automatically: basic technical information such as your browser type and pages visited, used to keep our website working properly.

3. Why we use your information

  • To respond to your enquiries and book consultations
  • To provide accounting, tax, payroll, secretarial and advisory services
  • To submit returns and registrations to SARS, CIPC, the Department of Employment and Labour and other authorities on your behalf
  • To meet our legal, regulatory and professional obligations
  • To send you service updates and, where you have agreed, relevant news (you can opt out at any time)

We only collect information that is necessary for these purposes.

4. Who we share it with

We do not sell your personal information. We share it only where needed to deliver our services or where the law requires it, including with:

  • SARS, CIPC, the Compensation Fund, the Department of Employment and Labour and other regulatory bodies
  • Cloud accounting and payroll software providers we use to process your records (such as Sage, Xero and QuickBooks)
  • Our professional body, auditors or advisors, where required

Some of these providers may store information outside South Africa. Where this happens, we take reasonable steps to make sure your information is protected to a standard similar to POPIA.

5. How we protect your information

We use reasonable technical and organisational measures to keep your information secure, including password-protected systems, restricted access and secure cloud platforms.

6. How long we keep it

We keep your information only as long as needed for the purpose it was collected, or as required by law. Tax and financial records are generally kept for at least five years, in line with the Tax Administration Act and the Companies Act.

7. Your rights

Under POPIA, you have the right to:

  • Ask what personal information we hold about you
  • Ask us to correct or update your information
  • Ask us to delete your information, where we are not legally required to keep it
  • Object to us processing your information, including for direct marketing
  • Lodge a complaint with the Information Regulator

If you are not satisfied with how we handle your information, please contact us first. You may also lodge a complaint with the Information Regulator of South Africa at inforegulator.org.za.

9. Changes to this policy

We may update this policy from time to time. The latest version will always be available on this page.
